Volunteer Coordinator

Reports to: Operations Manager / Head of Volunteering
Location: Remote (online)
Term Length: Approximately 4 hours per week
Type: Voluntary, unpaid

The Volunteer Coordinator plays a central role in supporting the people who make Age in Spain’s work possible. This is a role about relationships first and administration second — it is about ensuring that every volunteer feels seen, valued, and connected to the wider organisation and its mission.

Working closely with the Operations Manager and regional Delegates, the Volunteer Coordinator helps to maintain a motivated, well-informed, and well-supported volunteer community across Spain.

This is an internal volunteer role. The Coordinator is also a volunteer and is supported by the AiS team throughout.
What You’ll Do:

KEY RESPONSIBILITIES

Volunteer Recognition

  • Proactively identify opportunities to recognise and celebrate volunteer contributions — including length of service, significant achievements, and going above and beyond.
  • Coordinate the distribution of thank-you messages, certificates of appreciation, or other recognition on behalf of the organisation.
  • Maintain an awareness of each volunteer’s area of work and highlight individual contributions in internal communications where appropriate.
  • Champion a culture of appreciation within the volunteer community.

All-Volunteer Events (Quarterly)

  • Plan and coordinate a quarterly all-volunteer gathering, initially held online via Google Meet or similar platform.
  • Manage the end-to-end logistics: scheduling, calendar invites, agenda, technical setup, and post-event follow-up.
  • Work with the Operations Manager and relevant team members to shape the agenda — balancing /organisational updates, peer sharing, and social connection.
  • Ensure events are accessible to all volunteers, including those with hearing or vision difficulties, and those less confident with technology.
  • Gather feedback after each event and use it to improve future gatherings.
  • Maintain a record of attendance and topics covered at each session.

Communication and Connection

  • Act as a point of contact for volunteers who have questions, concerns, or ideas about the volunteer experience.
  • Help ensure volunteers feel informed about organisational developments relevant to their role.
  • Liaise with regional Delegates to maintain an accurate picture of volunteer activity across Spain.
  • Contribute content for the internal newsletter relating to volunteer news, milestones, and events.

Onboarding and Induction Support

  • Support the onboarding of new volunteers by ensuring a warm welcome and clear introduction to the organisation.
  • Help new volunteers connect with peers in their region or service area.
  • Flag any onboarding gaps or inconsistencies to the Operations Manager.

Record-Keeping and Reporting

  • Maintain up-to-date records of volunteer engagement activity, event attendance, and recognition given.
  • Provide a brief quarterly summary to the Operations Manager ahead of each all-volunteer event.
  • Flag any patterns of disengagement, concern, or unmet need to the appropriate person.

  • Comfortable communicating by email and online platforms
  • Discreet and trustworthy, able to handle sensitive information appropriately
  • Previous experience in a volunteer, coordination, or community-facing role
  • Experience using shared documents

All Age in Spain volunteers are expected to adhere to our Safeguarding Policy, Code of Conduct, and GDPR/data protection guidelines. The Volunteer Coordinator will have access to volunteer contact details and engagement records and must handle this information with appropriate care and discretion.

A DBS check or equivalent background check may be required depending on the scope of the role as it evolves.
